The Centre for Data, Culture & Society: Our Privacy Policy 


The Edinburgh Centre for Data, Culture & Society (CDCS) is part of the University of Edinburgh. This privacy policy explains how CDCS staff use the personal data collected from service users when you provide us with personal information.

What data do we collect? 

We keep a Data Matrix which indicates the data collected from users by each of our online forms or mailing lists. Most commonly we collect contact details such as names, emails and affiliations. 


How do we collect your data? 

You directly provide CDCS with most of the data we collect. We collect and process data when you: 

  • Complete a form or subscribe to a mailing list created by CDCS. 

  • Voluntarily complete a feedback form created by CDCS or provide feedback via email. 

We may also receive your data indirectly from the following sources:

How will we use your data? 

CDCS collects your data so that we can: 

  • Contact you to provide relevant updates about events you have registered to attend. 

  • Conduct analyses that yield demographic information about our service users, with aims of improving our communications and service delivery strategies. 


How do we store your data? 

CDCS securely stores your data with specific permission settings to allow access to CDCS staff only. CDCS will store your data for up to ten years, as appropriate to the data type. Once this time period has expired, data will be deleted or securely archived.  


What are your data protection rights? 

We would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following: 

The right to access – You have the right to submit a request to CDCS for copies of your personal data.  

The right to rectification – You have the right to request that CDCS correct any information you believe is inaccurate. You also have the right to request that CDCS complete the information you believe is incomplete. 

The right to erasure – You have the right to request that CDCS erase your personal data, under certain conditions. 

The right to restrict processing – You have the right to request that CDCS restrict the processing of your personal data, under certain conditions. 

The right to object to processing – You have the right to object to CDCS processing your personal data, under certain conditions. 

The right to data portability – You have the right to request that CDCS transfer the data that we have collected to another organisation, or directly to you, under certain conditions.
